The role of Property Services is to provide a leading facilities management, planning and development service to one of Auckland’s largest and most diverse property portfolios.
Reporting to the Associate Director of Development within Property Services; you will be responsible for wide-ranging administration support across all projects for the Planning and Development office to ensure that all project information is correctly and efficiently documented and maintained.
Record Project Cost Estimates (PCE’s)
Process contractor agreements and fees
Database management of all project activities
Create Purchase Order numbers and allocate to project cost codes
Process contractor and supplier invoices
Produce project current and forecasted status reporting
Maintain and update the Insurance Database
Maintain and update the Asbestos Register
Manage Health and Safety documentation
Update month end report information including collating incidents, audit and training outcomes
Manage the Health and Safety inductions of new contractors
Organise ID cards for new contractors/suppliers.
A minimum of two years’ Administration and Finance experience
Previous exposure to a project desirable although not a pre-requisite
Intermediate to advanced skills within the MS Office Suite
Experience using finance packages such as PeopleSoft Finance
Exceptional attention to detail and accuracy
Proven ability to work across several tasks simultaneously
Deadline driven, customer focused, strong initiative and pro-active
Excellent written and verbal communication skills.
